Email Service Update

Email Service Update

We wanted to provide an important update regarding the ongoing email issues affecting some of our clients.

Firstly, we want to reassure you that there is no evidence of any security breach or hacking. This appears to be an issue with our email provider.

We fully understand how disruptive this has been, particularly for councils relying on email for day to day communication. We are very sorry for the inconvenience caused, and also apologise if you have experienced delays in getting through to us. We have received a significantly higher volume of calls and messages than usual.

What we are doing

Our team has been working continuously to resolve the issue with our provider and restore normal service.

At the same time, we are accelerating the rollout of our new email platform. This system offers improved reliability, better performance, and a more modern experience for users.

There is no cost to migrate to the new system.

Moving to the new email system

If you would like to be migrated to our new email system, the clerk should email:
from a working email account with the subject line “Email Migration”.

Please include:

  • The name of your council or organisation
  • Confirmation that you would like to proceed with the migration
  • A mobile number listed on your council website (for verification)

Once we receive this, we will set up your new email accounts and send the login details and instructions directly to the clerk, who can then distribute them to councillors and staff as required.

From the point your account is moved, you will be able to access any new incoming emails.

Your existing emails, including inbox and sent items, will be migrated across once the current system is fully operational again.

Staying updated

To help us keep you informed more effectively, we have introduced a new SMS alert service.

This will allow us to send updates directly to you as we continue working on the issue.

We truly appreciate your patience and understanding during this time.
