We’re Accelerating Our Email Migration Here’s Why
Over the past year, we’ve been gradually moving councils away from our legacy email provider to a newer platform.
Originally, this was a phased transition designed to improve reliability, flexibility and long-term value. However, a recent decision by our current provider has significantly altered the landscape. Rather than allow instability or unpredictable third-party changes to affect councils, we have made the decision to accelerate the migration of all remaining mailboxes to our new platform.
This is a responsible infrastructure decision designed to protect councils and ensure continuity.
What Has Changed?
Our current email provider has introduced sudden changes in service that undermine long-term predictability on the platform. While this does not affect day-to-day email operations today, it means the platform is no longer suitable as a stable, long-term solution for councils.
We are not prepared to pass instability or uncertainty on to our clients.
What This Means for Your Council
We will now be migrating all remaining mailboxes to our new email system.
We will:
- Plan and coordinate your migration
- Handle the technical setup
- Migrate historic email
- Ensure Outlook and mobile devices continue working
- Provide guidance where needed
There will be no sudden cut-offs and no overnight disruption. Each migration will be scheduled carefully.
Why the New Platform Is Better
The new system offers:
- Improved deliverability, particularly to Microsoft addresses
- A modern webmail interface that works across devices
- Flexible storage options
- Greater long-term stability
Many councils have already successfully moved across.
A Note on Timing
We will be contacting councils directly to coordinate migration windows. If you are a larger email user, we may speak to you personally before scheduling your transition. Our goal is to ensure every council moves across smoothly, with minimal disruption and maximum clarity.
Our Commitment
Infrastructure decisions are not always visible, but they matter.
Our responsibility is to provide councils with stable, predictable and secure digital services. When a third party supplier introduces instability, we act early rather than react late.
This acceleration is about long term protection, not short term reaction.
