Why Forwarding .gov.uk Emails to Personal Accounts Puts Your Council at Risk
Using a .gov.uk email address is more than a formality. It is a core part of maintaining secure, accountable, and compliant communication within a council. With over 3500 government email addresses hosted and robust security and hosting practices in place, safeguarding those mailboxes is central to our work with councils across the UK .
Recently, we have been asked whether .gov.uk emails can be forwarded to personal accounts such as Gmail, Hotmail, or iCloud. While the technical settings may allow it, this is strongly discouraged for several important reasons.
The Risks of Forwarding to Personal Accounts
GDPR and accountability issues
Once a message leaves a secure .gov.uk environment, the council can no longer ensure compliance with data protection requirements. Personal accounts often store messages indefinitely, sync across multiple devices, and back up to cloud services outside the UK or EU.
Freedom of Information and audit trails
If council business is conducted through private inboxes, records may be incomplete, deleted, or untraceable. This puts the council at risk when responding to FOI requests or internal reviews.
Increased phishing and impersonation risks
Public sector mail is a frequent target for spoofing attempts. By routing messages through personal accounts, identifying legitimate mail becomes more difficult and staff are more vulnerable.
What to Do Instead
There is no need to forward council mail elsewhere. All users can access their .gov.uk email securely using:
Webmail
Every mailbox includes a modern, mobile friendly webmail option, available anywhere with a browser.
Email apps
Users can add their .gov.uk account to Outlook, Apple Mail, or any standard mail app. This keeps everything in one place without compromising compliance.
Multiple device access
Mailboxes can be used on laptops, tablets, and smartphones, giving the convenience of a personal account while maintaining the correct level of security.
Our Recommendation
Forwarding .gov.uk emails to a personal account should not be used under any circumstances. It removes the safeguards that councils rely on and increases the risk of GDPR breaches. Instead, we encourage councillors and clerks to access their emails directly through the secure systems provided.
